It can also be programmed to perform simple routines to complex processes. This software creates a user interface or communication link that can read data entering a specific process through a business app, web app or contact center and can direct the data to the appropriate application or process.

Xerox ClearSight Case Management

This robotic software controls the business process workflow plus what the users see on their computer screens, creating an easy-to-use, fully integrated product that can be deployed in various industries. The application eliminates the need for extensive agent training on where to find the answers to common customer inquiries. When handling a call, the application knows where to retrieve the correct information while recording and logging information from the entire call for future calls. This tool organizes information by topic and delivers it to the agent’s touch screen as an icon for easy access. This new management system is allowing us to focus on our customers rather than the screen and software in front of us.

SWFL Office Solutions 2015 Kick-Off

FullSizeRenderWhat a great beginning to 2015! All of us at SOS are looking forward to the new year and everything it’s going to bring us. We began our year with a trip to Las Vegas for the 2015 Xerox Agent Owner kick-off. We spent an incredible six days staying at the Mirage and enjoyed some fine dining at Tom Colicchio, the Jaeleo in the Cosmopolitan, and spent a few nights in the Mayfair bar.

The conference was fun, informative, and above all, exciting! The SWFL Office Solutions team met agent owners from all over the country. We got to discuss business opportunities and given previews on what Xerox has in store for us and our customers. 2015 is looking pretty exciting already! We are honored and proud to be announced as a Platinum Agency! Our superior customer service will only improve in the new year with exciting new products and procedure.

SWFL Office Solutions is now XPPS capable, giving us access to our customer’s machines dashboards. We are so grateful for all of our customers and partners. 2014 was a big year for all of us! We opened another office right here in Fort Myers, making it our home away from home. Our Sarasota office is still up and running though, don’t worry! We love serving a larger area with our great, evolving team.

We’d like to take the chance this holiday season to extend our thanks and gratitude to all of our wonderful customers. It’s become a cliche, but we truly do have the best customers and clients in Florida! It’s a pleasure watching businesses thrive and grow right here in Southwest Florida. We truly live in paradise and shouldn’t take advantage of it!

The statistics are staggering, yet more and more people are lead to believe that print is on its way out. Be it print media, publications, or documents, print is thriving. While technology is making our lives easier with by going digital, print is (and will always be) a noted and trustworthy means of communication. According to The Valassis Shopper Marketing Report, Millenials, long hailed as our digitized generation, rely on the following as their preferred source of coupons:

Mail: 61%

Newspapers: 52%

Internet (Download): 47%

Internet (Print At Home): 42%

Smartphone: 39%

The key is to use every form of medium for your business. Create a mix that’s effective in marketing, advertising, and produces results. A case study by Digital Nirvana highlights a successful merger between social media marketing and direct mail, promoting the opening of a new store. “5,000 mailers were sent out to gather demographic information of potential customers and to inform them of the branch’s opening. The postcards featured free food promotions that required online validation.” says Digital Nirvana. This is incredibly smart on several levels. By using social media as well as print, Chick-Fil-A was able to retrieve a quick survey, measure their online success, and on the opening day, a total of 14,000 customers came into the new store. 20% of those customers cited the direct mail and subsequent online promotion as the reason they decided to come.

Print, like most things, works when it’s done right. When paired with campaigns, promotions, or various other “call to actions”, the print medium can provide measurable success. One of the most notable reasons to commit to traditional print media is that it is seen as more trustworthy, even luxurious, than their digital counterparts.

“Clients are beginning to associate the tactile experience of print with luxury. Digital is cheap, fast, and easy. Who wants to be identified with any of those things?” says the Creative Director of Burt&Burt, Mary-Frances Burt.

In short, print isn’t going anywhere. Think of your own print preferences and transfer that to what your customers may think.

“Toner Phoner” Scams

“Toner Phoner” scams, while not new, are unfortunately becoming more and more common. If you don’t know about these telemarketers that are posing as Xerox representatives, its time you get informed. All over the the country, telemarketer frauds are targeting existing Xerox customers and charging them for products they didn’t order. Southwest Florida Office Solutions is going to tell you what to look for and how to deal with a potential fraudulent situation.

What To Look For 

Invoice for goods not ordered: Look out for callers that attempt to obtain information such as your name, company, and address. What these fraudulent companies do is then ship supplies for un-ordered products and then bill you an excessive amount for them. Don’t find yourself paying for products you haven’t ordered.

Misrepresentation: Listen to the language that the caller uses. Are they using general terms and ideas? This may be a sign that they are not the experts that they’re making themselves out to be. If you feel wary, ask specific questions concerning price, quantity, and brand. Telemarketers are often aggressive as well and may pressure you into ordering products or providing unnecessary payment.

Free gifts: The caller may try to entice your company with free gifts. If you accept, they often send the gift with invoice attachments as well as products that you never ordered. This is frustrating and extremely costly.

Protecting Your Business From Fraud 

  • File a complaint with the Federal Trade Commission.
  • Designate specific people in your organization responsible for ordering supplies for your Xerox equipment.
  • Before paying invoices, confirm that the supplies were ordered, the pricing is correct, and the product has been delivered.
  • When contacted by someone selling supplies, ask for the person’s name, company name, and call back number. Be wary of anyone who refuses to provide this information.
  • If a supplier misrepresented their company or the goods, write the company a letter explaining why you are disputing the bill.
  • Don’t be pressured into paying. Fraudulent companies often use threat of collection or legal action to get payment.
